Privacy Policy

01Who can use the App

The App is invite-only. You can use it only if an Owner or Admin has invited you. You must be at least 17 years old. If you are under 18, you confirm that a parent or legal guardian has given permission for you to participate.

02Information we collect

Information you give us

• Name, display name, and email address
• Profile photo (optional)
• Time zone, pronouns (optional), and weekly availability
• Optional private details such as phone number, emergency contact, or birthday
• Time off requests and notes
• Content you create in the App: tasks, comments, bug reports, documents, playtest feedback, announcements, and uploaded files

Information created while you use the App

• Your role, department, and project assignments
• Activity such as tasks updated, files uploaded, and approvals made
• Login activity, including dates and times of sign-ins and failed sign-ins
• Device and browser type and approximate IP-based location, collected for security

Information we do not collect on purpose

We do not ask for government ID numbers, payment card numbers, or bank details in the App. Please do not upload them.

03How we use your information

• To create and manage your account and control what you can see
• To assign, track, and review work
• To send notifications you need (assignments, mentions, due dates, approvals) by in-app alert and email
• To keep the App secure, prevent misuse, and keep an audit record of sensitive actions
• To improve the App and fix problems
• To meet legal obligations

We do not sell your personal information, and we do not use it for advertising.

04Who can see your information

Access is limited by role:

• All staff can generally see your name, role, department, photo, and time zone.
• Project members can see your activity and content on projects you share.
• Private details (phone, emergency contact, birthday) are visible only to you, Admins, and Owners.
• Contractors see only the projects and people they are assigned to.
• Owners and Admins can view user accounts, roles, and the audit log to manage the App.

05Sharing with third parties

We share information only with service providers needed to run the App, such as:

• Base44 (app hosting, database, authentication, and file storage)

These providers process data on our behalf and have their own privacy practices. We may also disclose information if required by law, to protect safety, or to enforce our rules. If the studio is sold or merged, information may transfer to the new owner, and we will tell you.

06Data retention

• We keep your account data while you are active.
• After you leave, we disable your access immediately and delete or anonymize your personal profile within 30 days, unless we must keep it for legal reasons.
• Work content (tasks, assets, documents) may be kept after you leave because it belongs to the project. Your name may be replaced with “Former team member.”
• Audit logs are kept for 12 months.

07Your choices and rights

You can:

• View and edit your profile and notification settings in the App
• Download a copy of your data using Export my data
• Ask us to correct inaccurate information
• Ask us to delete your account using Request account deletion or by emailing us

We will respond within 30 days. Depending on where you live, you may have additional rights under local privacy laws. Contact us to use them.

08Security

We use role-based access controls, invite-only sign-up, and activity logging, and we rely on our hosting provider's security measures. No system is perfectly secure, so please use a strong, unique password, never share your login, and report anything suspicious right away.

09Children's privacy

The App is not intended for children under 17. We do not knowingly collect information from children under 17. If you believe a child has provided information, contact us and we will delete it.

10International users

Our App is operated from the United States. If you use it from another country, your information may be processed in the United States or other countries where our providers operate.

11Changes to this policy

We may update this policy. If we make significant changes, we will notify you in the App or by email and update the “Last updated” date. Continued use after changes means you accept them.
